Location Lifestyle Ltd ("Location Lifestyle", "we", "us", "our") is the data controller for personal information collected through this website and through our consultations and bookings. What this policy covers
This policy applies to the personal information we collect from prospective clients, clients, and any other person who interacts with our website, our consultants, or our booking team. It does not cover the privacy practices of third parties we work with (airlines, hotels, ground operators, payment processors). Those parties operate as separate data controllers for the information they hold about you.
What we collect
You give us
- Contact details: name, email, phone number, postal address.
- Traveller details for your booking: full names, dates of birth, nationalities, passport details, accessibility or medical information you choose to share, dietary preferences, frequent flyer numbers.
- Trip preferences: the moment you want to be at, budget guidance, who is travelling, what kind of trip you want.
- Payment information when you confirm a booking, processed via our payment provider.
- Communications you send us: enquiries, emails, calls, texts, messages.
We collect automatically
- Standard server logs when you visit this website (IP address, browser, device, pages viewed, referrer).
- Minimal site analytics, where used. We aim to use privacy-respecting analytics that do not identify you.
We receive from others
- Suppliers and partners (airlines, hotels, ground operators) when they confirm your booking or pass on information relevant to your trip.
- Referrals, where a client introduces you to us with your knowledge.
How we use your information
We use your information for a limited set of purposes. For each purpose, UK data protection law requires us to identify a lawful basis.
- To prepare your quote and design your trip, including consultations and bespoke itineraries. Lawful basis: our legitimate interests in responding to your enquiry, and the steps necessary to enter into a contract with you.
- To book and deliver your trip, including sharing your details with airlines, hotels, ground operators, restaurants, hospitality providers and other suppliers. Lawful basis: performance of our contract with you.
- To take payment and manage refunds. Lawful basis: performance of our contract and our legal obligations.
- To keep records required by law, tax, financial protection schemes, regulators and our auditors. Lawful basis: legal obligation and legitimate interests.
- To keep you informed about your enquiry or trip, and to send you occasional updates about the kind of moments we plan. We will only send marketing where we have your consent, or where you are an existing client and we are sending you closely related updates that you would reasonably expect. You can unsubscribe at any time.
- To improve our service, including limited site analytics and reviewing how our consultations and bookings perform. Lawful basis: legitimate interests.
- To protect Location Lifestyle, our clients and our suppliers, including fraud prevention and resolving disputes. Lawful basis: legitimate interests and legal obligations.
Special category information
Some information, like health or accessibility needs, is "special category" data under UK GDPR. Where you give us this information so that we can plan your trip safely, we rely on your explicit consent. You can withdraw that consent at any time, although in some cases that may mean we cannot make a particular arrangement on your behalf.
Who we share it with
We share only what is necessary, and only with parties who need it to deliver your trip or run our business.
- Suppliers: airlines, hotels, villas, ground operators, transfer companies, restaurants, hospitality providers, ticketing partners, on-the-ground fixers, guides.
- Professional service providers we use to run our business, such as our customer relationship management software, our email and calling tools, our accountants and our auditors. Each is bound by contractual obligations to handle your information securely and only on our instructions.
- Payment processors to take and reconcile payment.
- Regulators and authorities where we are required by law, including HM Revenue and Customs, the Information Commissioner's Office, the Civil Aviation Authority (ATOL), and ABTA.
- Professional advisers (solicitors, insurers) where we need to take advice or defend a claim.
- A successor, if our business is ever sold or restructured.
We do not sell your personal information. We do not share it with third parties for their own marketing.
International transfers
Travel is, by nature, international. To book your trip we will often need to send your information to suppliers outside the United Kingdom and the European Economic Area. Where we do, we put appropriate safeguards in place, such as the UK Addendum to the EU Standard Contractual Clauses, or rely on a country's adequacy status under UK law. Where neither is available, the transfer is necessary for the performance of our contract with you.
How long we keep it
- Enquiries that do not lead to a booking: up to 2 years, then deleted, unless you ask us to keep your details on file.
- Confirmed bookings and supporting records: 7 years after the end of the relevant financial year, to meet our tax, ATOL, ABTA and audit obligations.
- Marketing consents: until you withdraw consent, then we keep a minimal suppression record so we do not contact you again.
- Website logs: typically a short period (days to weeks) for security and operational purposes.
Your rights
You have the following rights over your personal information, free of charge:
- Access: ask for a copy of the information we hold about you.
- Correction: ask us to correct anything that is wrong or out of date.
- Deletion: ask us to delete information, where we no longer need it for the purpose we collected it.
- Restriction: ask us to pause our use of your information while a question is being resolved.
- Objection: object to our use of your information where we rely on legitimate interests, or to direct marketing at any time.
- Portability: receive certain information in a portable format.
- Withdraw consent: where we rely on your consent, you can withdraw it at any time.
To exercise any of these rights, email hello@locationlifestyle.com. We will respond within one month. We may ask you to confirm your identity before we share personal information.
You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk, although we would rather you raise the issue with us first so we have a chance to put it right.
Security
We take security seriously. We use encrypted connections, role-based access, and contractual safeguards with the partners we work with. No system is perfect. If we ever became aware of a personal data breach that risked your rights, we would notify you and the regulator as required by law.
Children
Our service is intended for adults. We only collect information about minors when an adult books a trip on their behalf, and only what is necessary for that trip.
